The role
This position is dedicated to providing high-quality customer care and support to the Mayor and Civic Functions. This position will assist the Mayor in managing the administrative, operational, and communication aspects of their office. This role will anticipate needs and collaborate with various stakeholders to enhance the Mayor’s efficiency, effectiveness, and overall impact.
You will be an integral member of the Office of the CEO team and will be required to work from the Councils Executive Office in the Bankstown City Centre five days a week.
Duties will include but not be limited to:
- Working closely with team members within the broader Office of the CEO and Councils Communications team to support the positive reputation of Council and the City of Canterbury Bankstown.
- Coordinating the Mayor's schedule, appointments and meetings, ensuring that the Mayor's time is allocated effectively.
- Prioritising conflicting needs, handle matters expeditiously, proactively and follow-through on projects often with deadline pressures.
- Communicating effectively with the Mayor’s key stakeholders, including the community, elected officials, and government representatives, ensuring timely responses to inquiries and requests.
- Researching, collating and providing information and the preparation of briefings and reports to support the Mayors involvement in meetings, appointments and events, and to support informed decision making and planning.
- Managing Mayoral and Civic events and functions, collaborating closely with the team of the Office of the CEO and other key stakeholders
- Supporting strategic stakeholder engagement including management of the Civic Contact list.
- Applying relevant policies as they relate to the Mayor, including Councillor expenses and facilities, public interaction and media policy requirements.
- Monitoring operational budgets that relate to the Office of the Mayor
- Additional duties as required within the limits of the employee’s skill, competence and training.

You will have
- Tertiary qualifications in relevant field or equivalent extensive experience
- Current Class C Drivers Licence
- Availability to work outside regular office hours where required
- Proven experience as an Executive Assistant or similar role, supporting C-suite executives, preferably in a fast-paced or corporate environment.
- Excellent organisational and time management skills, with the ability to prioritise and manage multiple tasks simultaneously, own issues and respond proactively.
- Excellent communication skills, both written and verbal, with the ability to interact professionally and effectively with stakeholders at all levels and with diverse audiences.
- High level of discretion and the ability to handle confidential information.
- Ability to build and maintain relationships with internal and external stakeholders.
- Strong problem-solving skills and a proactive approach to managing tasks and inquiries.
- Experience with event planning and coordination.
- Demonstrated ability to use digital technologies to drive continuous improvement to enhance both personal work and the experience of the customer.
- Proficiency in office software, including Microsoft Office Suite and any executive scheduling tools.
- Strong attention to detail and ability to ensure tasks are closed out efficiently.
- A commitment to both self-awareness and self-development.

The salary will be negotiated and commensurate with demonstrated skills and experience applicable to the role.
